Google reviews are the most-read part of a business profile and they affect map ranking. Managing them is three jobs: replying, reporting policy violations, collecting new ones. For the profile itself see Google Business Profile; this article covers reviews only.
Which reviews can be removed?
Google removes only reviews that violate its own policy: spam and fake content, off-topic, harassment and hate speech, personal information, conflict of interest (competitor, ex-employee, self-review), illegal content. “I find it unfair” or “exaggerated” is not a reason. Reporting: profile → reviews → the review’s menu → “Report review”; pick a reason; the decision is Google’s and can take days. If it fails, the second route is an appeal through the business profile help centre. This article is not legal advice; defamation-level content needs legal counsel.
Replying to a negative review: the rule
The reply is written not for the reviewer but for the next fifty readers.
- 01Within 48 hours, calm, short.
- 02Thanks + acknowledge the problem (no defence): “We are sorry about the wait.”
- 03What was done: “Two staff were absent that day; we increased the weekend roster.”
- 04Move the conversation private: “If you call us we would like to make it up.”
- 05Never: argue, blame the customer, personal information (clinics especially — patient details never go in a reply), template replies.
Reply in measured terms to a review you believe is fake too: “We could not find a visit under this name in our records; please write to us and we will look into it.” Readers see it, and it helps the reporting process.
Replying to positive reviews
A short thank-you is enough, but to every one. Reply rate signals a “managed profile” to Google.
Collecting reviews within the rules
- Allowed: asking customers for a review, giving a QR or link (the profile has a “review link”), reminders at the till and in the parcel, a message after delivery.
- Forbidden: discounts/gifts for reviews, asking only happy customers (“review gating”), buying fake reviews, asking employees. When detected, the profile is penalised.
- Automatic reminder: one message, one link after delivery/visit; can be set up with automation; no nagging.
How reviews affect ranking
Review count, average rating, recency and reply rate are part of Maps ranking — but not alone; together with the correct category, a complete profile, photos and the address match on the site. Details in Google Business Profile and adding a business to Maps.
Monthly rhythm
- Reply to every review within 48 hours
- Report policy violations the same week
- Automatic review reminder after delivery
- Once a month: fix the recurring complaint in the business — that is the real purpose of review management
Sufitware’s SEO and Google Business service provides the profile, reply templates and automatic reminder setup together; paste your profile address into the brief form and we will say what is missing on the review side.
