“WhatsApp Business” is the name of two separate products: the free app you install on your phone and the Business API (Platform) that software connects to. Mixing them up produces “my bot doesn’t work” and “why was I charged” questions. This article first sets up the app properly, then explains when to move to the API.
Setup: the first ten minutes
- 01A separate number. A dedicated line for the business; it can run on the same phone as personal WhatsApp. Converting your personal number means customers message your personal phone at 2 a.m.
- 02Business profile. Name (as on the sign), category, address, hours, email, website, short description. Customers see these in the chat screen; an empty profile does not inspire trust. Address and hours should match the Google Business Profile.
- 03Profile photo: logo or the shopfront. If you have a brand identity, the mark variant goes here.
Three features that ease daily use

- Quick replies. Shortcuts starting with “/”: address, payment details, delivery time, return policy. So you do not type the same sentence twenty times a day.
- Labels. Mark chats “new customer”, “order”, “awaiting payment”, “done”. Simple but working customer tracking.
Automated messages
- Greeting message: goes automatically to a first-time sender or one silent for 14 days. Short: who you are, how soon you reply.
- Away message: outside business hours. “Back at 9 a.m.” manages expectations.
- These are not bots; they are one-off replies. A question-and-answer structure needs the API.
Using it from a computer and a second phone
With WhatsApp Web / desktop and “linked devices” you can use the same account from several devices; the number of linked devices is limited and changes over time, so check the current limit in the app. As the team grows this limit is the first thing that binds.
When to move to the API
The WhatsApp Business API (Cloud API) is not an app but a connection point: n8n, a CRM or an e-commerce system sends and receives messages through it. Signs it is time:
- Several people must reply from the same number at the same time.
- Orders, appointments or form records must be created automatically.
- You need to send outbound: shipping notices, appointment reminders, payment confirmations — with customer consent and template messages.
- You want to classify and route messages with AI (the WhatsApp example in AI automation).
On the API, messages are charged by category and non-template messages to customers are limited to a 24-hour window; verify rules and pricing on Meta’s official page, because they change.
What does “WhatsApp Business AI” mean?
